1. Colleges' Constitution

Please Note: Below is the consitution for the Colleges' IT Group. This has been superceeded by the Colleges' ICT Committee. Please visit the Colleges' ICT Committee Constitution for the current committee constitution.

1. The Oxford University Colleges' IT Group shall exist:
   1. to represent the interests of the colleges in discussion with University bodies and others on matters concerning computing and IT facilities (on the understanding that the Group's views do not bind individual colleges);
   2. to provide a forum for discussion of matters of interest to the colleges concerning the use of computers and IT, to help colleges to work together to provide IT provision, and to advise the Conference of Colleges [or its standing committee] when appropriate.
2. It shall comprise representatives of colleges as defined in clause 3 below.
3. The list of colleges shall be defined by the Conference of Colleges and will normally consist of all colleges.
4. The representative of a college will normally be a member of their College Governing Body and will be appointed for two years. If a member is not able to attend a meeting they are welcome to send a substitute. Colleges are also welcome to appoint a second person who can attend the meetings to act in a technical support role. If a vote is required on any item then there is only one vote per college. The Colleges' IT Group may coopt any other member of the IT community that it deems expedient.
5. Meetings of the Colleges' IT Group shall be held at least once each term.
6. The chairman shall be elected for three years by the Colleges' IT Group. The chairman shall be eligible for a second period of office but may not then be re-elected until a further two years have elapsed.
7. The vice chairman shall be elected for three years by the Colleges' IT Group. The vice chairman shall be eligible for a second period of office but may not then be re-elected until a further two years have elapsed.
8. At the end of the term of office of the chairman and the vice chairman there shall be an election. The election will occur at the last meeting prior to the end of the term of office and the secretary shall send notification of the election to all representatives asking for nominations at least 14 days before the meeting. If there is more than one nomination there will be an election.
9. The posts of chairman and vice chairman may be held by any Senior Member of the University. The chairman's own college shall be represented on the Group by someone other than the chairman.
10. The Colleges' IT Group will report directly to the Conference of Colleges Estates Burars' Committee. The Minutes of the Colleges' IT Group meetings will be passed directly to the Estates Bursars' Committee each term. If an item requires personal representation at the Estates Bursars' Committee, the Chair of the Colleges' IT Group (or an appointed deputy) will attend the relevant meeting of the Estates Bursars' Committee as the representative of the Colleges' IT Group.
11. The Colleges' IT Group shall have no executive authority, but may make representations through its representative (as defined in 10) to the Conference of Colleges Estates Bursars' Committee.
12. The Colleges' IT Group shall ask the University Computing Services to provide secretarial support.
